Policies & FAQs
Thank you for keeping our policies in mind while interacting with MGA Volleyball!
General Refund Policy
We try our best to be fair and understand unplanned circumstances when canceling a registration to a program. Please be mindful, though, that putting a program together requires months of planning by MGA to hire coaches and staff for the programs and events. Last minute cancellation not only gets in the way of our planning but it also takes away the opportunity from another athlete.
"No refunds" is the default policy - anything else must be discussed on an individual basis
MGA PARENT FAQ: where do i find?
Welcome to the MGA family! This page answers the questions parents ask most often and tells you exactly where to find what you need. If you can't find an answer, contact Sarah (details at the bottom).
Where do I find practice and tournament schedules?
You have three places to look, and they all stay up to date:
- LeagueApps Play app: Your team's practice and tournament schedule lives here. Download the app and log in with your family account.
- MGA website, Calendar page: The full club calendar is posted under "Calendar."
- Parent Portal: Schedules are also available inside the Parent Portal.
Tip: Schedules can change. Turn on notifications in LeagueApps Play so you see updates as soon as they are posted.
Where can I find MGA's policies?
- MGA website, Policies page: General club policies are posted publicly.
- Parent Handbook: The full handbook is in the Parent Portal. It covers expectations for players and parents, and we encourage every family to read it at the start of the season.
Where do I find my daughter's team roster?
Rosters are on the MGA website under Teams.
How do I contact my daughter's coach?
Coach contact information is listed with each team on the Teams / roster page of the website. Please reach out to your coach directly with questions about logistics for when and where to meet at a tournament
Where do I find hotel information for tournaments?
Hotel information is organized by team in the Parent Portal. Check your team's section for the hotel and booking details for each tournament. Please book through the team's designated hotel information when provided: we provide hotel rooms only for coaches and players; you are responsible for booking your own rooms.
How will I get timely updates (cancellations, schedule changes, last-minute news)?
There are two ways to stay in the loop. We recommend using both:
- LeagueApps Play broadcast alerts: Urgent notices, like schedule or location changes, are sent as push alerts. Make sure notifications are turned on.
- MGA social media: Follow us on Instagram and Facebook for club news, announcements, and highlights.
How do I join USA Volleyball (USAV) and NERVA?
All players must hold a current USA Volleyball membership through our region, the New England Region Volleyball Association (NERVA), to participate in club events and sanctioned tournaments.
- USAV / NERVA membership registration: [Insert link]
- USAV Parent Resources: https://usavolleyball.org/resources-for-parents/
- NERVA website: [Insert link]
Keep your membership number and card handy. You may be asked for them at tournaments.

CLUB VOLLEYBALL Refunds
Once a commitment letter is signed, no refunds will be given, unless for medically verifiable reasons. In addition, if a family decides not to fulfill their commitment to the team, all fees must be collected.
All players must agree to the
Code of Conduct Agreement
We are ALL on a team together and must all do our part to keep the team strong. Parents are required to review the Player-Parent Handbook below.
You will be required to acknowledge the official terms contained within as part of your player's team acceptance agreement.
1. I understand that my child is accepting a position on an MGA Team and will follow the code of conduct rules and expectations as outlined in the form provided
2. I will treat all MGA teammates, coaches and parents with respect.
3. I will not engage during practice or tournaments and will respect all opponents (players and coaches,) spectators, officials, and facility staff
4. If there is an issue with another teammate, coach or player, I agree to allow my child to address first with the coach. If a satisfactory resolution cannot be found, I agree to speak with Coach Fabian or Sarah.
5. I understand and have read the MGA refund policy.
6. I agree that if my child is found in violation of the code of conduct especially as outlined regarding drugs and alcohol, it will result in strict disciplinary action including likely dismissal from the team and loss of USAV eligibility. In case of dismissal, there will be no financial reimbursement.
7. I agree to meet my financial requirement in full.
8. I understand that the decision of the owners (Fabian Ardila & Sarah Ardila) will be final in these matters of probation or dismissal, and agree that they reserve the right to use their discretion on a case-to-case basis.
9. Playing time is determined at the discretion of the MGA coaching staff and is not guaranteed. We do guarantee a regular role for each player on the team.
a. A regular role means that the player will not be a bench player and will be involved in games
b. Playing time is based on a variety of factors, including but not limited to, a lineup for each competitionthat will lead to success on the court. Playtime is a very complex determination. It includes the coach’s opinion, the athlete’s ability, the athlete’s potential, the team’s needs/game strategy at the moment, the momentum of the game, the number of subs remaining, and the team’s needs for the future. The coach will not be required to defend his/her thought process or conclusions in these determinations, and it is improper for a parent to make such a request.
10. Communication with coaches: I agree to copy sarah_ardila@yahoo.com on any issues regarding compatibility, team dynamics, or questions about behavior.
PRIVATE LESSON Refunds
A full refund can be given upon request up to one day prior to the lesson. Please email sarah@mgavolleyball.com

Weather
WEATHER TRAVEL POLICY
Be sure to read but the decision to travel/drive is entirely up to you
MGA strives to fulfill our commitment to the scheduled practices and tournaments. Weather or travel conditions do not always accommodate our schedules.
Your safety is paramount, so if the weather is bad (especially snow/ice), do not drive if you do not feel safe. As a reminder, players cannot drive alone to a tournament. No exceptions.
We will only cancel for 3 reasons:
- There are travel bans by state, national or municipal authorities
- The facility where we are playing/practicing cancels access
- If we determine the conditions are too hazardous
When will you know?
Whenever possible, a decision for same day cancellation is made by 3pm.
If the facility/tournament informs it will be closed or delayed opening, we will send info in real time as it is received.
How will you know?
LeagueApps email and broadcast message.
